The Ninja Planner is both a planning and a tracking tool. To use the full power of the Ninja Planner in your business and your life, it is important to (1) understand the difference between planning and tracking, and (2) how to execute both effectively.
Planning is the process of thinking about and defining the activities required to achieve a desired goal.
Once you have set goals through the planning process you can then move to track your goals.
Tracking is monitoring the progress towards completion of the activities required to achieve the desired goal that was designed in the planning process.
The Ninja Selling System provides the plan as to what you need to execute in your real estate business to achieve your desired results. The Ninja Planner provides the place for you to plan your week by scheduling tasks into specific time slots and then track your progress towards completing the tasks necessary to achieve your goals.
An even higher level of effectiveness comes when you do this in an iterative manner, meaning you evaluate your past performance and outcomes to identify areas of improvement as you move into the future. Let’s take a deeper look at this and walk through an ideal planning and tracking process to use with the Ninja Planner.
Week 1
Before the start of the week, ideally, Sunday evening or first thing Monday morning take 15 minutes of uninterrupted time with your Ninja Planner to schedule your entire upcoming week. Schedule every event including your personal life events and time for your Ninja Nine. For a reference review pages 8-9 in your Ninja Planner.
Once you have all of your personal and business events scheduled for the week take some time each day to track your progress on accomplishing the tasks and goals you have set for the week.
Week 2
Sunday evening or first thing Monday morning take 15 minutes of uninterrupted time with your Ninja Planner to review your performance for Week 1. Identify (1) where you accomplished your tasks and goals, and (2) the areas where you need to improve.
Here is where the iterative process comes into play.
We all have natural rhythms to the day, times we are most effective and focused, and times when we are least effective. Can you recognize a rhythm to your day? How can you prioritize your schedule to take full advantage of your peak performance time during the day?
With this information in mind, schedule your entire upcoming week, but this time use the knowledge you gained from tracking and analyzing your Week 1 performance to enhance your time scheduling for Week 2.
Week 3
Sunday evening or first thing Monday morning take 15 minutes of uninterrupted time with your Ninja Planner to review your performance for Week 2. Just as you analyzed your Week 1 performance, now review your Week 2 performance to see if the changes you made improved your performance for Week 2. Ask yourself those same questions and keep adjusting your schedule to find what works best for you.
If this sounds complicated to you, think of it this way:
Your goal with this process is to find an established weekly schedule that works best for you. Once you get your schedule dialed in a manner that works for you, you will become even more effective because you will already have most of your weekly routine planned. You will simply have to make minor adjustments to your weekly schedule but the overall framework for your week will be established.
With this routine in place, you will be able to focus on accomplishing your goals instead of having to take time wondering what to do next.

Let’s face it. Real Estate has become a very “reactive” industry.
In Ninja, we often ask the question, “are you being On Purpose or On Accident?” when it comes to how you are showing up in your real estate business. What this really means is are you being proactive or reactive in your business? And, the demands of the modern-day real estate industry have made it even harder to be proactive. There is a constant barrage of phone calls, emails, text messages and pop-up notifications all vying for your time and attention, so what is a real estate professional to do?
